ZirconMail Privacy Notice
How ZirconMail, our free and private email service, handles your mailbox and email. This notice adds to the Red Zircon Privacy Policy.
About this notice
ZirconMail is Red Zircon’s free, private email service at zirconmail.com (including login.zirconmail.com, home.zirconmail.com and mail.zirconmail.com), together with the contacts, calendar, tasks, notes, documents and file storage inside it.
This notice adds ZirconMail-specific detail to the Red Zircon Privacy Policy, which applies in full, including our privacy commitments, your rights and how to contact us. For personal ZirconMail accounts, Red Zircon Technologies Ltd is the controller. For business mailboxes provided by an organisation, that organisation is the controller and its own policies also apply.
In short
- ZirconMail is free and has no ads. We never read, scan or analyse your email to target advertising, build profiles or train AI models.
- Automated systems check mail only for spam, viruses and security threats.
- Your mailbox is stored on servers in Germany, in the European Union.
- When you delete your account, your mailbox is deleted, and your address is never given to anyone else.
What ZirconMail stores
- Your account: your first and last name, your @zirconmail.com address, your password (as a strong one-way hash only) and, if you add them, a recovery email address and verified phone number.
- Your mailbox: the emails you send, receive, draft and keep, including attachments, and your folders, labels, filters, rules, signatures and settings.
- Your other ZirconMail content: contacts, calendar events, tasks, notes, documents and files.
- Sign-in and security events: such as sign-ins, failed attempts, password changes and active sessions.
Mail delivery information
To deliver email, our mail servers necessarily process message “envelope” and header information: sender and recipient addresses, the subject line, the date and time, message size, message identifiers, the IP addresses of the servers involved, and delivery results (for example, “delivered” or “rejected”). This is recorded in mail server logs that are kept for up to 90 days and used only to deliver mail, fix delivery problems and stop abuse.
Spam, virus and security filtering
Incoming and outgoing email is checked automatically for spam, phishing, malware and abuse. This is done by software, without human review. It looks at technical signals (such as sender reputation, authentication results like SPF, DKIM and DMARC, and known malicious patterns) to protect you and the wider email system. The results are used only to filter and secure mail, never for advertising or profiling. Filtering only decides where a message is placed, and you can always check your Junk folder.
Encryption and signing
- Your connection to ZirconMail is always encrypted (HTTPS/TLS).
- When ZirconMail exchanges email with other providers, it uses encrypted connections (TLS) whenever the other provider’s server supports them.
- Mail sent from your address is digitally signed (DKIM), so receiving providers can confirm it really came from ZirconMail and has not been altered.
- ZirconMail does not currently provide end-to-end encryption, so do not rely on email alone for information that must stay confidential even from service providers.
Tracking protection
ZirconMail does not load remote images or other active content embedded in messages by default. This stops many “tracking pixels” from telling senders when, where or whether you opened their email.
Mail you send
Once an email is delivered to someone at another provider, a copy is held by that provider under its own privacy policy. We cannot recall or delete it there.
Who can see your mailbox
Your mailbox is private. Red Zircon staff can only access its content in the narrow cases described in “Access to your content” in the Red Zircon Privacy Policy: with your permission, where the law requires it, or to deal with a serious threat such as a compromised account or spam being sent from it. Every such access is recorded.
Where your mailbox is stored
ZirconMail mailboxes and their content are stored on servers in data centres in Germany, in the European Union.
How long we keep mail
- Your mail and content: for as long as you keep it. When you delete a message it moves to Trash until you empty it; once emptied, it is permanently deleted from your mailbox.
- Closed accounts: your mailbox and its content are deleted within 30 days, and backup copies are overwritten within a further 35 days.
- Your address: once a ZirconMail address has been deleted, we never give it to anyone else, so nobody can receive mail intended for you.
- Mail server logs: up to 90 days.
Exporting your mail
You can download attachments from ZirconMail at any time, and you can ask us for a full export of your mailbox in a standard format (such as MBOX or EML files) so you can move it to another provider.
Age
You must be at least 16 years old to create a ZirconMail account.
